How a Cardiology Clinic Streamlined Patient Management and Billing with Zoho

In the healthcare sector, efficient patient management and accurate billing are crucial for providing high-quality care and maintaining financial transparency. A major cardiology clinic in Central America, which also operates a hospital, required a centralized system to reliably and scalably manage patients, medical procedures, and billing.

To meet this need, at CRM-Administrators we designed and implemented a customized solution using Zoho Creator as the operational hub, fully integrated with Zoho Books, ensuring seamless financial management and commission tracking.

 Business Context 

The organization operates as both a cardiology clinic and a hospital, handling a high volume of patients, procedures, and interactions with multiple insurance companies. In addition, the clinic works with three physicians, making commission tracking a key requirement of the financial process.

Before the implementation, patient and billing information was fragmented across different tools, making it difficult to maintain consistency, traceability, and operational efficiency.

 Business Challenge 

The client required a centralized application capable of:

  • Managing patient information in a structured and standardized way.

  • Handling medical procedures, diagnoses, and related documentation.

  • Managing billing, estimates, invoices, and insurance-related data.

  • Ensuring accurate commission calculations for multiple physicians.

  • Synchronizing operational data with the accounting system in real time.

  • Migrating a large volume of historical data without data loss.

 Solution Implemented 

 Application Design and Mockups 

As a first step, detailed mockups were created to define how the new Zoho Creator application would interact with Zoho Books. This design phase allowed all stakeholders to understand data flows clearly, responsibilities, and system behavior before development began.

 Zoho Creator as the Operational Hub 

The custom Zoho Creator application was designed to centralize operational data, including:

  • Patients

  • Insurance companies

  • Medical procedures

  • Diagnoses

  • Providers

  • Locations

  • Estimates

  • Invoices

 

This application became the primary interface for the clinic’s daily operations.

 Zoho Books Integration

Zoho Books was used as the financial backbone of the solution, managing

  • Patients (as contacts)

  • Insurance companies

  • Procedures (products and services)

  • Providers

  • Estimates

  • Invoices

 

A bi-directional synchronization was implemented so that any patient or procedure created or updated in Zoho Creator is automatically reflected in Zoho Books, and vice versa. This ensured data consistency across both platforms, particularly for billing and physician commission calculations.

 Automations  

Multiple automations were developed to improve data quality and operational efficiency, including:

  • Standardization of patient name formats during data entry (Propercase).

  • Automated document management rules to name files using patient identification numbers and last names.

  • Automated creation and update of patients and procedures across both systems (Bidirectionally).

  Data Migration   

As part of the implementation, nearly 7,000 patient records were imported into the system. Additionally, all products and services offered by the clinic and hospital were migrated to ensure continuity of operations.

Insurance company information previously managed in Asana was also imported and structured within the new system, consolidating all critical data into a single ecosystem.

 Business Impact   

The implemented solution provided the clinic and hospital with a unified, scalable platform that connects patient management with financial operations. By centralizing data, automating key processes, and ensuring real-time synchronization between Zoho Creator and Zoho Books, the organization significantly reduced manual work, improved data accuracy, and gained better visibility into billing and physician commissions.

This implementation not only streamlined daily operations but also laid a strong foundation for future growth, enabling the organization to focus on what matters most: delivering exceptional cardiac care to its patients.
