The organization operates as both a cardiology clinic and a hospital, handling a high volume of patients, procedures, and interactions with multiple insurance companies. In addition, the clinic works with three physicians, making commission tracking a key requirement of the financial process.
Before the implementation, patient and billing information was fragmented across different tools, making it difficult to maintain consistency, traceability, and operational efficiency.

Application Design and Mockups
As a first step, detailed mockups were created to define how the new Zoho Creator application would interact with Zoho Books. This design phase allowed all stakeholders to understand data flows clearly, responsibilities, and system behavior before development began.

Zoho Creator as the Operational Hub
The custom Zoho Creator application was designed to centralize operational data, including:

Automations
Multiple automations were developed to improve data quality and operational efficiency, including:
Standardization of patient name formats during data entry (Propercase).
Automated document management rules to name files using patient identification numbers and last names.
Automated creation and update of patients and procedures across both systems (Bidirectionally).

Data Migration
As part of the implementation, nearly 7,000 patient records were imported into the system. Additionally, all products and services offered by the clinic and hospital were migrated to ensure continuity of operations.

The implemented solution provided the clinic and hospital with a unified, scalable platform that connects patient management with financial operations.
